1) Office Assistant Position (Part Time)

General Responsibilities

This position is based in Houston, Texas.

The Office Assistant will be responsible for order fulfillment, production and distribution, sales and marketing.

1) Order Fulfillment

• Extracting orders via e-mail / internet, catalog, mail, and telephone
  
  
• Ensuring accurate and timely order payments prior to shipment
  
  
• Communication with customers via e-mail, telephone, and mail
  
  
• Coordinating with suppliers worldwide to ensure timely production of products, optimal inventory of popular products, optimal inventory of fabrics and materials while ensuring quality workmanship.

2) Sales and Marketing

Responsible for establishing wholesale accounts and receiving wholesale orders

A. Catalog marketing and sales

• This includes mailing catalogs, flyers, brochures, letters and literature to potential and existing customers.

B. Online advertising and sales

• Weekly submission of the websites to search engines, directories, news groups, and
  
  
• Soliciting and ensuring reciprocal links with related sites
  
  
• Banner and text ads in online websites

C. Print Advertising and sales

• Includes running ads in appropriate newspapers, magazines, and flyers that have the target audience to buy our products

D. Other

• Serve as manufacturer representative for TeKay Designs
  
  
• Contact manufacturer representatives to serve as agents for TeKay Designs.
  
  
• Receive commission and payment for certain out of pocket expenses

E. Web Site Maintenance

• Responsible for adding new products to the online shopping cart and updating existing products
  
  
• This includes adding and updating price, description, sizes, colors, etc
  
  
• Responsible for placing orders via the website and ensuring orders are shipping accurately and timely

3) Collections

• The Office Assistant will be responsible for:
  
  
• Collecting payment from all customers prior to order shipment
  
  
• Ensuring payment to suppliers and manufacturers for fabrics and materials
  
  
• egotiating contracts with current and prospective customers, Retailers, and Manufacturer Representatives
  
  
• Meeting daily, weekly, monthly and annual sales quotas
  
  
• Reconciling and generating financial statements on a monthly basis
  
  
• Entering financial and sales data into a computerized accounting system

4) Skills and Experience:

• Computer skills using PCs and Windows operating system
  
  
• Proficient in Microsoft Word, Excel, Outlook
  
  
• Working knowledge of navigating the Internet and using e-mail
  
  
• Experience working in an office setting including professional phone etiquette, filing and record keeping preferred
  
  
• Able to use a calculator, cash register or financial accounting software
  
  
• Good negotiator and able to quickly close deals
  
  
• High School Diploma or GED minimum

2) Manufacturer Representative (Contract)

Responsible for establishing wholesale accounts and processing wholesale orders in exchange for a commission per order.
